The upcoming Summer Conference & Board Meeting is just on the horizon! You won’t want to miss the sessions taking place Wednesday afternoon and Thursday morning leading up to the Board of Directors’ meeting. The Board will meet Thursday afternoon and reconvene Friday morning to take action on items that will lead the Pool into the 2022-23 fiscal year. Please review the details below to learn more.

A block of rooms at the Hilton has been set aside for attendees at the per diem rate. The room block is available until Friday, June 17th or until depleted - don’t wait to book!

- Group Reservation Link - Please carefully review pre-filled dates and edit as needed prior to booking.

- Call (360) 993-4500 and press 1 to reach Reservations and provide the 3-digit Group Code “WCR” to the agent for booking within the room block.

Special Notes

- Your first night’s stay will be charged at booking and is refundable up to 3 days in advance of arrival. An authorization hold will be processed at check-in for the amount of the room, tax, parking and incidentals. The final cost will be charged at check out.

- Overnight self-parking is $29 per night.

- Check in 4:00pm and check out 12:00pm.


If staying overnight at the Hilton Vancouver, guests have access to the hotel’s underground parking garage located on the south side of the building. Overnight parking rates are $29 for self-parking and $39 for valet parking (reimbursement up to $29/day).

For those not staying overnight, daytime parking options include the Vancouver Center Parking Garage, valet parking with Hilton Vancouver hotel, and on street parking (reimbursement up to $15/day).

Additional details about parking will be sent to registered attendees closer to event. 


Attendees are encouraged to bring county issued laptops or tablets to the meeting so they can follow along electronically. For those who do not bring a county issued device, the WCRP will have electronic tablets available for use during the meeting. 

If paper is preferred, attendees should print and bring meeting packet materials of their choosing, as the meeting packet will not be available in printed format.   


Travel/Lodging– Those traveling more than 50 miles one way, or those closer than 50 miles that are attending later afternoon/evening events followed by the next day’s morning sessions, are eligible for lodging reimbursements. Room charges and meals not provided at the event are to be paid by the attendee or county. The WCRP will reimburse up to two nights lodging (Wednesday and Thursday) and overnight self-parking costs ($29/night) for the Board Director, the Claims Administrator, and the Risk Manager based upon the Travel Reimbursement Guide and for only the days noted. For those not lodging overnight, daytime parking will be reimbursed up to $15.00/day.

Meals – Meals provided by the WCRP are not eligible for meal cost reimbursement. Meals indicated on the agenda as “Dinner on your own” will qualify for reimbursement and will be subject to guidelines in the Travel Reimbursement Guide.

Attendee safety continues to be a top priority for WCRP. With the recent updates in state & local mandates, masks will be welcomed at the conference but not required. Hand sanitizer and masks will be available onsite, along with a color system on name badges to indicate your personal comfort levels (green: handshakes approved; yellow: elbows only; red: greet from 6 feet). 

If you are experiencing COVID-19 symptoms or have a known direct exposure, please do not attend the event, and contact the Member Services to let us know you will not be there.
