EVENT LOCATION, LODGING, & PARKING:

Guest lodging is at The Davenport Grand and the deadline to reserve rooms under the group room block at the discounted group rate has closed. To update, change, or cancel your reservation, please contact the hotel directly, at (509) 458-3330. Press 1 for reservations, and 3 to modify an existing reservation under a group.

OVERNIGHT LODGING REMINDERS:

- Check in is at 4:00pm and check out is at 12:00pm.

- A credit card is required at check in. A pre-authorization in the amount of the reserved room charges will be place at check in and the card will be charged at check out. The pre-authorization may take 5-7 business days to fall off, depending on your financial institution.

- Individual cancellations must be made at least 48-hours prior to arrival time to avoid same day cancellation/no-show fees. (Cancellations/no-show fees are not eligible for reimbursement).

PARKING 

The Davenport Grand’s hotel self-park garage is located on N. Washington St, near W. Main Ave. The fee is $6 per hour or $25 per day. Overnight guests will see the Front Desk at check in to have the parking cost added to their room charges, with payment charged at check out, and they will receive an “exit pass” to come and go during their stay which can be used until check out. Day time attendees will pay at the pay station while exiting the garage. 

The surrounding area offers mostly paid street parking with spaces limited to 2-hours. Check out the On-street Paid Parking Map for more information about 2-hour, 4-hour, and all day on-street options within Paid Parking Zones.

BOARD MEETING MATERIALS:

Board members are encouraged to bring county issued laptops or tablets to the meeting so they can follow along electronically. For those who do not bring a county issued device, the WCRP will have electronic tablets available for use during the meeting. The Board meeting packet will be made available within the Governance section of the WCRP website, and Board members can expect to see more from WCRP Executive Director, Derek Bryan, once the materials are ready for viewing. If you have trouble accessing the digital packet, please email MemberServices@wcrp.wa.gov.

If paper is preferred, Board members should print and bring meeting packet materials of their choosing, as the meeting packet will not be available in printed format.

DUFFLEBOARD TOURNAMENT:

Please join us for a Duffleboard Tournament at Flatstick Pub, Thursday evening for our offsite dinner event. If you would like to get an idea of how this one-of-a-kind game looks in action, please view a short video here.

Gameplay is simple and designed for all skill levels. Each player has one shot. If the player misses the hole-in-one, then, as in shuffleboard, depending on which zone your ball lands you may earn up to six points. Final scoring is similar to golf, where the team with the lowest score wins! 

This unique game is sure to bring out your competitive nature and incite good times and laughter. Teams will be created at random onsite. Bringing a guest? They are welcome to play too! Be sure to sign-up and claim your spot!

ATTIRE:

The event will be held indoors with a casual dress code. Please pack attire that will fit this location knowing the time of year and weather to be expected, to include sunglasses, sunscreen, and shoes suitable for exploring the area in your free time. We recommend that you bring light jackets and layer your clothing when attending sessions to help keep you comfortable in varying temperatures within the meeting spaces.

WCRP REIMBURSEMENTS:

The WCRP will reimburse attendees in accordance with the Travel Reimbursement Guide. All costs being submitted for reimbursement will require accompanying receipts and documentation along with the completed Travel & Expense Voucher. Please note details regarding the following reimbursements.  

Travel/Lodging/Parking – Those traveling more than 50 miles one way, or those closer than 50 miles that are attending later afternoon/evening events followed by the next day’s morning sessions, are eligible for lodging reimbursements. Room charges and meals not provided at the event are to be paid by the attendee or county. The WCRP will reimburse up to two nights lodging (Wednesday and Thursday) and self-parking costs (up to $25/day) for the Board Director, the Claims Administrator, and the Risk Manager based upon the Travel Reimbursement Guide and for only the days noted. For those not lodging overnight, parking will be reimbursed up to $25/day.

Meals – Meals provided by the WCRP are not eligible for meal cost reimbursement. Meals indicated on the schedule as “Dinner on your own” will qualify for reimbursement and will be subject to guidelines in the Travel Reimbursement Guide.  

Guests are welcome to accompany you at mealtimes provided by the WCRP. For accompanying guests, fees will apply as follows: $10/pp for lunch and/or breakfast and/or receptions and $20/pp for the offsite dinner taking place Thursday evening. Please indicate if any guests and how many will be joining you during any of the WCRP provided mealtimes at registration to ensure proper head count. It is preferred that payment be made after the event, either by check issued to the WCRP, or by deducting the cost from your reimbursement totals on your Travel & Expense Voucher. 

DISTANCING PROTOCOLS:

Attendee safety continues to be a priority for WCRP. Per state & local mandates, masks are welcomed at the event but are not required. Hand sanitizer will be available onsite, along with a color system on name badges to indicate your personal comfort levels with social distancing (green: handshakes approved; yellow: no touching; red: greet from 6 feet).

If you are experiencing COVID-19 symptoms or have a known direct exposure, please do not attend the event, and contact Member Services to let us know you will not be attending.
