- Each county is encouraged to send three representatives to enhance information sharing within your team/county. Please review reimbursement limitations below.

OVERNIGHT LODGING:

A block of rooms at the Skamania Lodge has been set aside for attendees at the per diem rate of $152 per night. The room block cut-off date was Monday, September 23rd! To update, change, or cancel your reservation, please contact the hotel directly, by calling (844) 432-4748; press 1 for reservations, press 1 for existing reservations.

Special Notes

- You will be speaking with local reservation agents, and they are unavailable between 12:00pm-1:00pm. Best times to call: 7:30am-12:00pm and 1:00pm-4:00pm. Let us know if you can’t get through and we will assist! 

- Reservations must be made by the above-mentioned cut-off date. Reservations received thereafter will be considered on a space and rate availability basis. 

- All guest rooms are equipped with mini-fridges and coffee makers. Microwaves are available upon request.  

- If an ADA is required, please call the lodge phone number listed above at booking.  

- A credit card is required at booking and is also required at check in with your valid ID. 

- First night’s room and tax will be charged at booking as a deposit. 

- Deposit is refundable if the room is cancelled at least 5 days prior to the scheduled arrival (cancellation/no-show fees are not eligible for reimbursement).

- Guests departing prior to the confirmed departure date will be charged for the balance of their stay. 

- A $60/day incidental hold will be placed at check in and will be released at check out. The release could take 7-10 business days to reflect on your statement depending on your financial institution. 

- Incidentals and room enhancements are not eligible for reimbursement. 

WCRP REIMBURSEMENTS:

The WCRP will reimburse attendees in accordance with the Travel Policy and Travel Reimbursement Guide. All costs being submitted for reimbursement will need to be submitted within 60-days following the event and will require itemized accompanying receipts and printouts from an online mapping service for proof of mileage, along with a completed Travel & Expense Voucher. Please note details regarding the following reimbursements:

Lodging – Those traveling more than 50 miles one way, or those closer than 50 miles that are attending later afternoon/evening events followed by the next day’s morning sessions, are eligible for lodging reimbursements at the designated hotel up to the group rate. Room charges are to be paid by the attendee or county. The WCRP will reimburse up to two nights lodging (Wednesday and Thursday) for up to three people per county, based upon the Travel Reimbursement Guide and for only the days noted. Please seek pre-approval if you wish to send more than three people.

Mileage – The WCRP will reimburse mileage for one vehicle per county. If carpooling is not feasible and additional mileage reimbursements are needed, please seek pre-approval

Meals – Meals provided by the WCRP are not eligible for meal cost reimbursement. 

Guests are welcome to accompany you at mealtimes provided by the WCRP. For accompanying guests, fees will apply as follows: $15/pp for lunch and/or breakfast and $25/pp for dinners. Please indicate if any guests and how many will be joining you during any of the WCRP provided mealtimes at registration to ensure a proper head count. It is preferred that payment be made after the event, either by check issued to the WCRP, or by deducting the cost from your reimbursement.
