Cyber Security Awareness Reimbursements


OVERVIEW

The WCRP Cyber Security Awareness Reimbursement Program supports member counties by reimbursing the cost of annual cyber security training and awareness subscriptions with third-party vendors, such as KnowBe4, PhishFirewall, and others. This initiative strengthens cyber resilience by equipping county employees with the skills to identify, avoid, and report potential cyber threats.

Reimbursement is applied to the total invoice for the applicable subscription period, allowing counties flexibility to maximize the value of their training investment.

Counties are encouraged to review information below to learn more and to ensure their request can be completed before the annual processing deadline.

REIMBURSEMENT ELIGIBILITY AND LIMITS

Members may receive reimbursement of up to $25 per user, applied to the total invoice for an eligible cyber security awareness training subscription, for a 12-month period per request. If the invoice exceeds the $25 per user reimbursement amount, the county is responsible for the remaining balance.

Reimbursements are processed annually. For multi-year contracts, reimbursement applies only to the applicable 12-month period, and a new request is required for each subsequent year. Some vendors offer annual installment billing for multi-year agreements, and counties should work directly with their vendor to arrange this if needed.

Programming changes outlined above take effect on January 1, 2026.

REIMBURSEMENT REQUEST PROCESS AND DEADLINES

  1. Obtain supporting documentation and fill out form:
    • Vendor invoice paid by the county (quotes are not acceptable)
    • W-9 for the corresponding county or department
  2. Complete the form: WCRP Cyber Security Awareness Reimbursement Request Form.pdf.
  3. Send all materials to your county Risk Manager.
  4. The county Risk Manager submits the request to MemberServices@wcrp.wa.gov.
  5. WCRP will review the request within 14 business days and communicate any questions and the final decision to the county Risk Manager.

Deadline: All reimbursement requests must be submitted in full, with all required documentation, before December 15 to be processed for the current fiscal year.
